What Is the Cheapest ERP for a 20-Person UK Business?
ERPNext, Business Central or a fixed-price custom build: published UK prices, per-user fees and a hypothetical five-year licence bill for 20 people.
“Cheapest” depends on which costs you count. Licences are easy to compare, because suppliers publish them. Implementation, data migration and training are harder, because they are quoted per project and they are often the larger number. This page puts the published facts side by side, runs a hypothetical five-year licence bill for 20 people, and says plainly where each option fits.

A hypothetical five-year licence bill for 20 people
This is a hypothetical example, not a quote. Assume a 20-person UK wholesaler or light manufacturer where 8 people work in the system all day (accounts, sales, purchasing, warehouse lead) and 12 only need to look things up, approve or make small updates. Microsoft describes Team Members as “limited access to read data, approve workflows, and create or update select information”; whether a given role fits that is a question for your partner.
| Scenario (licences or hosting only, ex VAT) | Per year | Five years |
|---|---|---|
| Business Central: 20 Essentials users | £14,760 | £73,800 |
| Business Central: 20 Premium users | £20,304 | £101,520 |
| Business Central: 8 Premium + 12 Team Members | £9,014.40 | £45,072 |
| Business Central: 8 Essentials + 12 Team Members | £6,796.80 | £33,984 |
| ERPNext on a Frappe Cloud server from $20/month | $240 | $1,200 |
| OpsMavix: three areas (£4,950 + £2,500 + £2,500), one-off build price | n/a | £9,950 |
What the table leaves out matters as much as what it shows:
- Business Central figures exclude partner implementation, migration and training, which Microsoft does not publish. Premium is the plan that adds manufacturing and service management; Essentials covers finance, sales, purchasing, inventory, warehousing and projects.
- ERPNext figures are the starting hosting price only. A server sized for 20 active users, and any partner who sets it up, will cost more. If you self-host, you carry the upgrades and backups yourself.
- OpsMavix figures are the published starting build prices. Hosting is on the client’s own account and its cost depends on the provider. Two months of aftercare (“Control Care”) are included; ask for the price of support after that in your written quote.
Read across the rows and the answer to “cheapest” changes with the shape of your team. If all 20 people need full access, per-user pricing climbs fast. If most of the team only needs light access, Business Central’s Team Members seat keeps the subscription low. If you have in-house technical skill, ERPNext’s licence cost is close to nil.
Where OpsMavix fits, and where it does not
OpsMavix builds owned operations systems for UK product businesses: stock, orders, purchasing, production and approvals. The homepage states it plainly: “Get the system your business actually needs. Not the ERP you don’t.” The facts it publishes:
- Fixed price in writing before the build. One area from £4,950, each further area from £2,500, a whole operation from £25,000.
- Pay half to start, and the other half only when it is working.
- Live in 30 days per area, against the “12 to 24 months a full ERP takes”, in OpsMavix’s own comparison.
- You own the code, data and hosting. If you part ways, it stays yours.
- No per-seat fees, so adding the 21st person costs nothing extra.
- Connects to Shopify, Xero, QuickBooks, Stripe, WooCommerce and Sage, plus your suppliers and existing spreadsheets.
It fits a business whose real problem is in a few areas, such as live stock, wholesale order handling or production tracking, and which keeps Xero, QuickBooks or Sage for the accounts. It is a weaker fit if you want one supplier’s suite covering payroll, HR, CRM and the general ledger out of the box. ERPNext and Business Central are built for that breadth. How to work out your own number
- Count roles, not people. List who needs full access every day and who only views or approves. That split decides most per-user bills.
- Get implementation in writing. For Business Central and ERPNext, ask a partner for a fixed or capped quote covering setup, migration and training.
- Price five years, not one. Multiply the monthly licence by 60 and add the one-off costs. Then add 25% to your headcount and price it again.
- Check who owns what. Ask what happens to your data, and to any custom work, if you stop paying.
- Match the scope to the leak. If two or three processes cause the pain, price fixing those before you price a whole suite.
FAQs
What is the cheapest ERP for a small UK business?
On licence cost, ERPNext, because the software is free and Frappe Cloud hosting starts at $5 a month with no per-user fees. Its real cost is the time or partner fees needed to set it up and keep it running.
How much does Business Central cost for 20 users in the UK?
At Microsoft’s published UK prices, 20 Essentials users cost £1,230 a month, or £73,800 over five years, before VAT and partner fees. Mixing in £6.20 Team Members seats for light users can bring that down considerably.
Is there an ERP with no per-user fees?
Yes. ERPNext on Frappe Cloud is priced by hosting, not by user. A custom-built system such as OpsMavix also has no per-seat fees, because you own it outright.
Is a custom ERP cheaper than Business Central over five years?
It can be, when you need only a few areas. In our hypothetical, three areas from OpsMavix start at £9,950 against £33,984 to £101,520 in Business Central licences over five years. A whole operation starts at £25,000, and you should add hosting and post-launch support to both sides.
Is ERPNext really free?
The software is: Frappe says it “is free and open-source software and always will remain so”. Hosting, implementation, customisation and support still cost money, either in your own staff time or in partner fees.
How long does it take to get a small business ERP live?
It depends on scope and partner. OpsMavix states 30 days per area. For Business Central and ERPNext, the timeline comes from the partner’s project plan, so ask for it in writing alongside the price.
